The Walnut Creek Downtown Association (WCD) is a 501c(6) non-profit organization whose mission is to assist our member businesses to engage with customers in downtown Walnut Creek. WCD seeks to enhance the downtown and create engagement opportunities for our members through:

The Walnut Creek Downtown Association is seeking an energetic, team oriented Administrative Assistant who is in search of a fun, fast paced environment. Downtown Walnut Creek is ever-changing with new retail and restaurants, residential development, and a growing arts community.

Purpose of role:

Provide general office support, assist the Walnut Creek Downtown Association with routine administrative/operating tasks as assigned by the WCD team. The role includes office and event planning and accounting assistance. accounts payable, accounts receivable, general banking, and other related accounting functions.

Responsibilities:

  • Manage the bookkeeping for the organization and related entities to include accounts payable, accounts receivable, inputting payroll, and staff reimbursements using QuickBooks and Excel reports for payment processing
  • Manage front office, retrieve voicemail, respond to general inquiry email
  • Oversee the Associate Membership program (new member outreach, renewals, payments)
  • Operate payment terminals and be knowledgeable of set-up/troubleshooting devices
  • Attend monthly board meetings and record meeting minutes
  • Communicate with downtown business as needed
  • Execute the Annual Shopping & Guide, including updating listings throughout the year
  • Send businesses memos via MailChimp, add new subscribers, & occasionally assist with newsletter coverage
  • General website updates (WordPress)
  • Act as the team’s point of contact for CRM operations & regularly update content
  • Additional tasks to support the ED and EM as needed. These include but are not limited to:
    • Annual BID renewal assistance
    • Coordinate downtown art projects or beautification initiatives with the ED
    • Attend taskforces and committee meetings when required

Skills & Requirements:

  • Excellent communication, and decision-making skills. We are looking for a pro-active, self-starter.
  • AA/AS degree from an accredited college or equivalent work experience
  • 3 to 5 years experience in bookkeeping or accounting
  • Proficient with QuickBooks, Excel, PowerPoint, and Word Proficient with computer programs (Microsoft Office, QuickBooks & others).
  • Experience with the following programs is a plus:
    • MailChimp
    • Canva
    • Eventbrite
    • Jotform
    • Project management tools
  • Ability to handle multiple projects simultaneously – Punctual and able to meet deadlines.
  • Ability to move/lift up to 25 pounds.
  • Must have a reliable means of transportation

Weekly Hours:

  • Part-time, 20 hours a week, Monday – Friday (option to expand hours based on mutual agreement)
  • Location: Downtown Walnut Creek office
  • Must be available to work occasional night/weekends for scheduled events; otherwise, available during normal business hours (9am-5pm).

Salary and Benefits:

  • $26,000-$31,000 annual salary, based on experience
